From Legacy System to Strategic Integration Platform

New Work SE operates XING, one of the best-known career platforms in the German-speaking market. Its Salesforce integrations had run on Magic xpi middleware for years. When the provider announced a new version and New Work SE simultaneously migrated its ERP system from the on-premises to the cloud version of Microsoft Business Central, the time was right to modernise its integration layer.

Together with H+W CONSULT, a Salesfive subsidiary, New Work SE selected MuleSoft as its new integration platform. The project began in January 2025, with the connection between Salesforce and Business Central for invoicing as the first priority. Step by step, the team migrated a total of four interfaces to the new architecture.

The aim was to migrate the existing interfaces to modern, cloud-based technology without changing established processes. New Work SE wanted to reduce maintenance effort, decommission its own servers and create a foundation that can be reused for future projects.

The change delivered immediate benefits after go-live: processing is now significantly faster and more stable. At the same time, the project marks the start of a broader MuleSoft strategy for New Work SE. Further interfaces are set to follow.

Challenges

Where New Work SE started

The existing middleware had become outdated, while the ERP system also needed to migrate to the cloud. New Work SE planned to modernise its core interfaces without disrupting ongoing invoicing operations.

The previous solution relied on in-house servers, which would have required significant investment to update and maintain. Rather than extensively modernising the existing system, New Work SE chose a cloud-based platform.

MuleSoft proved to be the more viable choice, both commercially and technologically.

The migration of the ERP system from the on-premises solution to the cloud version of Microsoft Business Central took place alongside the integration project. Both transformations needed to align seamlessly to ensure uninterrupted invoicing.

Unlike the previous system, the new Business Central requires two separate queries in the invoicing process: one for the invoice header and one for the invoice line items.

This two-stage process required targeted adjustments to the interface to ensure data was transferred accurately and completely.

During the project, the XING and kununu brands became more organisationally independent. kununu therefore required its own billing interface to ensure continuity of operations during the transition period.

This requirement needed to be implemented quickly and flexibly.

Solution

The Project Success in Detail

The former middleware has evolved into a cloud-based integration platform that runs four core interfaces. New Work SE now operates faster and more independently than before.

Invoicing as a Foundation

Orders flow automatically from Salesforce into Business Central, where they are processed further. This is enabled by an interface tailored to Business Central’s two-stage process. Invoice headers and invoice line items are processed in separate requests. Salesforce provides the source data, while Business Central creates the invoice.

Four Interfaces on One Platform

Maintenance and oversight have become significantly easier since the integrations were consolidated centrally. MuleSoft connects Salesforce, Business Central, kununu, an internal tool for customer activation and Braze. This means that invoicing, activation and lead management use the same technical foundation.

Lead Management on a Solid Foundation

Despite the high complexity, the connection between Braze and Salesforce is now stable. Data capture and further processing work seamlessly together, ensuring reliable lead handling. The interface was one of the most demanding aspects of the project and particularly benefits from the speed that MuleSoft provides.

Reusability as a Time Saver

Reusable elements saved considerable time when setting up the interface for kununu. Building on the existing solution, the team implemented it in just three weeks. Where standard connectors did not fit – for example, for the existing email inbox used for error handling – the team developed a tailored solution to ensure authentication and error messages continued to work as usual.

Higher Performance, Less Effort

With MuleSoft, processes run significantly faster and more reliably. A processing job that previously took around 30 minutes now completes in just under two minutes. Support requests from users, which regularly arose with the previous system, are no longer needed. As New Work SE no longer needs to operate its own servers, maintenance effort and costs are also reduced.

Independence and a Scalable Foundation

Together with H+W, New Work SE trained its own specialists to manage processes without external IT support and identify potential interface issues. This is particularly relevant as MuleSoft, with more than 1,000 connectors, provides the foundation for further planned integrations. In collaboration with H+W, New Work SE has also already conducted initial tests with Salesforce Agentforce.
