A complete response proposal is created from the request, context and knowledge base, tailored to the specific case and aligned with the required tone of voice. However, the response is not sent automatically: the draft takes approvals from the relevant department and Compliance into account.

1. Capture: The AI agent identifies the “invoice clarification” request and retrieves contract and invoice data from the CRM.
2. Knowledge Retrieval: It draws on the relevant knowledge article and two similar cases that have already been resolved.
3. Draft Response: The AI formulates an explanation, including a reference to the relevant knowledge article.
4. Approval: The responsible team member adjusts the salutation, adds a note about the next meter reading date and approves the message. Their assessment of the suggestion feeds back into the system.
