Central CRM system and efficient processes

Together with Salesfive, the Hoffnungsträger Stiftung implemented the then new Salesforce Nonprofit Cloud – a powerful CRM solution, specially tailored to the requirements of nonprofit organizations.

Hoffnungsträger and Salesfive simplified processes, dissolved silos, and created a central database. In doing so, they stayed close to the Salesforce standard and reduced the programming effort for individual customizations to an absolute minimum. The result: despite the large scope of the project, they were able to introduce the cloud solution in just one year.

Today, the central database is the basis for fundraising, donation accounting, grant management of the foundation and the complex administration of the integrative living concept Hoffnungshaus®.

Marketing Cloud Account Engagement

Salesforce Marketing Cloud Account Engagement is a platform for automated B2B marketing and lead management.

Findock

Findock is a payment solution for the Salesforce platform.

Challenges

How things started

Hoffnungsträger‘s work was characterized by manual processes, isolated systems, and inconsistent data. A central Salesforce system was intended to eliminate these silos and increase efficiency and transparency.

Hoffnungsträger worked with isolated individual solutions whose functions were very limited and lacked transparency. Many processes were manual, time-consuming, and error-prone, also due to redundant data storage.

With Salesforce, the processes should run faster and more efficiently and be as automated as possible.

Highly individual processes had developed at the decentralized locations in the Hoffnungshaus® division, which complicated cooperation. International subsidy projects and the approaching of interested parties by various business units added to the complexity.

A standardized and centralized system should sustainably strengthen interoperability throughout the entire Hoffnungsträger Group.

Data on supporters, donors, volunteers, residents and network partners was previously organized decentrally. This led to duplicates and inconsistencies, meaning that the foundation was unable to fully exploit its potential.

A new, common database for all business divisions and subsidiaries should counteract this and improve the quality of the data.

The administration of the Hoffnungshäuser was previously organized in numerous individual solutions. Standard solutions from Salesforce have reached their limits here: Information on locations, residents, interested parties, and associated processes cannot be adequately recorded and mapped.

The Salesforce module for program management therefore had to be individually adapted to meet the requirements.

The project success in detail

Complex processes were transformed into a holistic system: with Salesforce Nonprofit Cloud, Hoffnungsträger connected donations, projects, and people, thereby laying the foundation for long-term success.

Integration of the Salesforce Nonprofit Cloud

Salesfive implemented the then new Salesforce Nonprofit Cloud within a year. Since then, it has provided Hoffnungsträger with a comprehensive view of donors, volunteers, residents, network partners, supporters and projects as a central data source.

In combination with Salesforce Marketing Cloud Account Engagement, the foundation can also run targeted and personalized marketing campaigns.

Standardized processes

Major donors can now receive more targeted support in fundraising – from the initial contact to the closing. Funding can also be allocated and managed centrally, automatically, and transparently via Salesforce. To this end, Salesfive and Hoffnungsträger have redesigned processes and implemented them organization-wide with the CRM system.

Automated donation accounting

Donation accounting has been modernized and largely automated. This is made possible by FinDock: a third-party tool that integrates donation accounting into the Nonprofit Cloud.

Careful data migration

Thanks to cleansed data, all stakeholders now have access to structured, relevant, and reliable information. Among other things, Salesfive prepared financial transaction data including history, master data, and donor information. This resulted in a clean data migration, the basis for a successful start with Salesforce.

Customized cloud development

The Hoffnungshäuser can be managed directly in Salesforce across all locations. Prospect search and acquisition, application procedures, master data of residents and volunteers – all information is centralized in the CRM system. Salesfive specifically expanded the Nonprofit Cloud to include individual functions.

Holistic change management

The CRM introduction changed the way Hoffnungsträger works. This made it all the more important to involve the team at an early stage. To this end, Salesfive trained the users, created documentation, carried out end-to-end tests with stream owners and key users, and was also on hand to answer any questions.

About Hoffnungsträger

The Hoffnungsträger Stiftung, based in Leonberg, has been active nationally and internationally since 2013. Its central concern: “Passing on hope where people no longer see any hope.”

With its Hoffnungshäuser, the foundation creates integrative housing concepts. Over 775 people live in 33 houses at 11 locations, including refugees, socially disadvantaged people, and people from the mainstream of society. The specially developed serial timber construction method ensures efficiency and synergies and thus addresses the housing shortage.

Hoffnungsträger is committed to helping more than 4,500 children of prisoners worldwide and supports the rehabilitation of prisoners. In crisis regions, Hoffnungsträger provides acute emergency aid and long-term support.

With SINNGEBER, the philanthropic family office, the foundation connects wealthy individuals and helps them to organize their philanthropy effectively and sustainably – for example through the Giving Fund and individual solutions for unbureaucratic, digital and flexible giving.
